Reports

Run and export giving and volunteering reports to understand and act on the data. Giving reports include the Giving Participation Report, the Giving Report, and the Payroll Giving Report. Volunteering reports include the Volunteer Participation Report and the Volunteer Activity Report.

Important: If you are a WAM and have several workplaces, make sure you are in the right context to run a report for a specific workplace.

Note: WAMs can switch between the workplaces they administer and the context of their own organization, which itself may be a workplace. To switch between workplace contexts, enter the name of the workplace or organization in the Search field located in the toolbar. ​

Note: Based on organization preferences or your user role, some Philanthropy Cloud features may not be available.

Giving Reports

You can run and export reports to determine participation, giving, and payroll deductions for an organization or workplace.

Giving reports include:

  • Giving Participation Report- Provides information about giving participation for your organization in a given date range.
  • Giving Report - Provides information about one-time and recurring pledges in a given date range. Recurring donations reflect an annualized value.
  • Payroll Giving Report- Provides detailed information about one-time and recurring payroll pledges in a given date range.

Important: If you are a WAM and have several workplaces, make sure you are in the right context to run a report for a specific workplace.

Giving Participation Report

The Giving Participation Report provides information about giving participation for your organization in a given date range. This enables you to better understand giving participation so that you can continue to effectively engage donors.

This report includes anyone who made a one-time payroll or bonus payroll pledge during the date range of the report. It also includes anyone whose recurring payroll pledge start or end date intersects with the date range of the report. Inactive employees are not included in this report.

The Giving Participation Report includes fields such as:

  • Person ID - Indicates the employee's ID number.

  • Work Email - Indicates the employee's work email.

  • First Name - Indicates the employee's first name.

  • Last Name - Indicates the employee's last name.

  • Participated - Indicates if the employee participated or not.

  • Donation Date - Indicates the date of the employee's donation. Recurring payroll donation dates are not indicated.

For in-depth data analysis, a number of other fields are also included in this report when it is exported.

To run a report:

  1. Navigate to Reports and select Giving.

  2. Select the date range for your report.

  3. Select Export to export the report.

Giving Report

The Giving Report provides detailed information about one-time and recurring pledges in a given date range. Values for recurring pledges are displayed as annualized totals. This enables the workplace to measure the projected impact of recurring pledges if the donor fulfills their pledge over the course of the year.

The value of each recurring donation is annualized. Recurring donations are annualized starting on their initial pledge date, and they step up by an annual amount on the anniversary of that date if this recurring donation has no end date.

For example, a recurring credit card donation of $10/month, which has no end date, displays in the Giving Report as being worth $120 from the date it is initially pledged. One year from the original pledge date, the value of the donation increases to $240. If this recurring donation is canceled, the donation value reflects the actual sum of all recurring installments from the pledge date to the canceled date.

The Giving Report includes fields such as:

  • Campaign Name - indicates the campaign, as applicable.

  • Impact Fund Name - Indicates the impact fund, as applicable.

  • Impact Fund Owner Name - Indicates the owner of the impact fund, when the owner differs from the processor.

  • Nonprofit Name - Indicates the nonprofit organization, as applicable.

  • Organization Amount and Currency - Indicates the donation amount in the preferred currency of the organization.

  • Donor Amount and Currency - Indicates the donation amount in the preferred currency of the donor.

  • Status - Indicates whether one-time donations are paid, pledged, or canceled. Indicates whether recurring donations are in progress or canceled.

  • Causes - The selected tags associated with the content to help drive recommendations and reporting, such as "Community Building" or "Hunger & Food Security".

  • Sustainable Development Goals (SDG) - The selected SDGs associated with the content, such as "Goal 7: Affordable and Clean Energy".

  • Donation ID - Indicates the ID associated with a one time donation.

  • Subscription ID - Indicates the ID associated with a recurring donation.

For in-depth data analysis, a number of other fields are also included in this report when it is exported.

Note: The donation pledge date is not necessarily when payroll deductions started.

Note: This report does not include installment payments on recurring gifts.

Note: This report does not include any fulfillment that occurs outside of Philanthropy Cloud, such as fulfillment of payroll deductions.

Note: Report dates are indicated in UTC. For information about converting UTC times, please refer to Converting UTC Times to Local Times (Microsoft Excel).

To run a report:

  1. Navigate to Reports and select Giving.

  2. Select the date range for your report.

  3. You can group donations by Cause,Sustainable Development Goal, or Source. Workplaces can also group donations by Region or Department. WAMPs can additionally group donations by Workplace.

  4. Select Export to export the report.

Payroll Giving Report

The Payroll Giving Report provides information about payroll and bonus payroll pledges for your organization in a given date range. This includes anyone who made a one-time payroll or bonus payroll pledge during the date range of the report.

Note: The exported report includes one row per pledge. It does not include designation details or donations that are installments on recurring payroll donations.

The Payroll Giving Report includes fields such as:

  • Pledge Date - The donation pledge date. Note: This date is not necessarily when payroll deductions started.

  • Organization Amount and Currency - Indicates the donation amount in the preferred currency of the organization.

  • Donor Amount and Currency - Indicates the donation amount in the preferred currency of the donor.

  • Pledge Type - Indicates one-time or recurring pledges.

  • Status - Indicates whether one-time donations are pledged or canceled. Indicates whether recurring donations are pledged, in progress or canceled.

  • Annual Recurring Periods - Indicates the number of annual pay periods.

  • Recurring Start Date - The date the recurring donation is scheduled to start, if applicable. Note: This date is not necessarily when payroll deductions started.

  • Recurring End Date - The date the recurring donation is scheduled to end, if applicable.

  • Payment Type - Indicates whether the donation was a payroll or bonus payroll payment.

  • Bonus Payroll Date - Indicates the bonus payroll date, if applicable.

For in-depth data analysis, a number of other fields are also included in this report when it is exported.

Note: Report dates are indicated in UTC. For information about converting UTC times, please refer to Converting UTC Times to Local Times (Microsoft Excel).

To run a report:

  1. Navigate to Reports and select Giving.

  2. Select the date range for your report.

  3. Select Export to export the report.

Volunteering Reports

You can run and export reports to determine volunteer participation and activity for an organization or workplace.

Volunteering reports include:

  • Volunteer Participation Report- Provides information about volunteer sign ups and logged hours in a given date range. This report does not include future pledges.
  • Volunteer Activity Report- Provides detailed information about volunteer activity in a given date range. This report includes information about pledged, or future, volunteer activity.

Note: Volunteering reports capture and display the current information at the time the report is run.

Important: If you are a WAM and have several workplaces, make sure you are in the right context to run a report for a specific workplace.

Volunteer Participation Report

The Volunteer Participation Report provides information about volunteer sign ups and logged hours in a given date range. This enables you to determine the effectiveness of your programs, content, and events during that time.

The Volunteer Participation Report includes fields such as:

  • Logged Hours Participation- Indicates whether employees logged volunteer hours during the report date range.

  • Sign Up Participation - Indicates whether employees signed up for a volunteer opportunity during the report date range.

For in-depth data analysis, a number of other fields are also included in this report when it is exported.

Note: The Total Participation Rate in the Volunteer Participation Report chart reflects logged hours participation. Exported report data also includes sign up participation.

Note: This report does not include information about pledged, or future, volunteer activity.

Note: To view Logged Hours Participation for a single day, set the From date to the day before the day you are querying. For example, if you are querying hours for 8/5/2020, set the date range from 8/4/2020 to 8/5/2020.

To run a report:

  1. Navigate to Reports and select Volunteering.

  2. Select the date range for your report. The report displays the current information at the time the report is run.

  3. Select Export to export the report.

Volunteer Activity Report

The Volunteer Activity Report provides detailed information about volunteer activity in a given date range. This enables you to better understand volunteer participation so that you can continue to effectively engage volunteers.

The Volunteer Activity Report includes fields such as:

  • Volunteer Type - Indicates whether logged time was ad hoc, meaning that time was logged for a beneficiary but not for a specific volunteer opportunity.

  • Attendance Type - Indicates in person or virtual attendance.

  • Schedule Type - Indicates one-time, shifts, or flexible. "Flexible" means that a volunteer can reach out to the beneficiary and volunteer according to their schedule.

  • Total Hours - Includes both manually and automatically logged time in HH:MM format.

  • Causes - The selected tags associated with the content to help drive recommendations and reporting, such as "Community Building" or "Hunger & Food Security".

  • Sustainable Development Goals (SDG) - The selected SDGs associated with the content, such as "Goal 7: Affordable and Clean Energy".

  • Beneficiary Name - The beneficiary specified for the volunteer opportunity.

  • Hours Type - Indicates whether hours are logged or pledged.

  • Campaign ID and Campaign Name - Indicates the campaign the volunteer opportunity is associated with, as applicable.

For in-depth data analysis, a number of other fields are also included in this report when it is exported.

Note: This report includes information about pledged, or future, volunteer activity.

Note: The exported report displays one row per activity. One volunteer may have multiple rows associated with them.

Note: For manually logged ad hoc or flexible volunteer time, the UTC timestamp value in the datetime_utc column of this report indicates both the date that the volunteer entered and a default UTC offset time value of midnight in the volunteer’s local timezone. For example, time logged by a volunteer located in California for August 22, 2019 displays in the report as 2019-08-22 07:00:00.

To run a report:

  1. Navigate to Reports and select Volunteering.

  2. Select the date range for your report. The report displays the current information at the time the report is run.

  3. You can group the displayed information in a number of different ways, such as by cause, SDG, or beneficiary.

  4. Select Export to export the report.
